Our Commitment

Opera Lyra is committed to protecting the privacy of the personal information of its patrons, donors, sponsors, employees, volunteers and other stakeholders. We value the trust of those we deal with, and of the public, and we recognize that maintaining this trust requires that we be transparent and accountable in how we treat the information that you choose to share with us.

During the course of our various activities, we gather and use personal information. Anyone from whom we collect such information should expect that it would be protected, that any use or disclosure of this information is subject to consent, that it is as accurate and complete, and, upon request, it is available to you for review. Our privacy policy outlined here is designed to achieve these objectives.

What Information Do We Collect?

We only collect personal information, by fair and lawful means, necessary to fulfill the identified purposes.

In our previous contacts with you, we have collected personal information necessary to provide services offered by Opera Lyra. This information may include, but are not limited to, your name, contact information, ticketing and donor history, seating preferences, credit card information, and donor preferences.

This information is primarily gathered when you purchase tickets or provide us with financial or volunteer support. It may come to us through your phone call, fax, or mail order, through a form on our website or when you come to the Box Office.

Why Do We Collect Personal Information?

We collect personal information for billing purposes, to mail your tickets, to contact you about opera programming, upcoming events and special offers by mail, phone or electronically. More specifically, we collect personal information for the following purposes:

  • mailings (by post or electronic) and phone calls to invite supporters to performances;
  • mailings (by post or electronic) and phone calls to provide information about tickets and donations;
  • mailings (by post or electronic) and phone calls to thank supporters and issue tax receipts;
  • mailings (by post or electronic) or phone calls to invite supporters to special events;
  • phone calls to sell subscriptions, tickets and solicit donations; and
  • service phone calls and emails.
We make every effort to co-ordinate points of contact so that our patrons do not receive more than a reasonable number of letters or phone calls. The patrons have the option to opt-out if they do not wish their personal information used for any purpose listed above.

Do We Disclose Your Personal Information?

Opera Lyra never sells or trades the personal information of subscribers, donors and sponsors, or volunteers with any organization. We may participate in events organized jointly with other arts organizations. In that case, the mailings are sent through a third party data and mailing house, so that neither organization has access to the other organizations' personal information. The third party is contracted to comply with strict information privacy standards, including rules and guidelines of federal privacy legislation, and is required to destroy the information supplied after one use.

How Do We Protect Your Personal Information?

Personal information is stored in our database and in hard copy files. Information in electronic format and paper is either under supervision or secured in a locked or restricted area at all times. In addition, passwords are used on computers. Only authorized Opera Lyra personnel have access to this information.

If we share your information with an outside organization (such as the mailing house that sends out our season brochure), we have a contract binding them to the same strict privacy controls that we use ourselves.

Financial transactions (such as tax receipts) are kept in secure storage for the minimum amount of time required by legislation and then are destroyed.

Information that you provide at our website is encrypted for security and transferred with no risk of being intercepted. We also assess new technology for protecting customer information on an ongoing basis.
Personal information is retained only as long as necessary. We destroy paper files containing personal information by shredding. We destroy electronic information by deleting it and, when the hardware is discarded, we ensure that the hard drive is physically destroyed.

What is Our Accountability?

We do our best to ensure that all information is recorded accurately - if you notice any errors in our correspondence to you or if your personal information changes, please contact our box office representatives at 233-9200 extension 221 to update your file. We will take reasonable steps to amend the same information if it is in the possession of a third party.

If you want to see your personal information, please feel free to contact our Privacy Officer (coordinates listed below). We will provide access to your personal information (some exceptions might apply) and assist you in understanding the nature of personal information that is in our possession.

We may ask you to put your request in writing. If we are unable to give you access, we will inform you within 30 days, in writing, with the reasons for not giving access.

If you wish to make a formal complaint about our privacy practices, you may make it in writing to our Privacy Officer. She will acknowledge receipt of your complaint, ensure that it is investigated promptly and that you are provided with a formal decision and reasons in writing.

Opera Lyra may amend this policy from time to time to reflect any changes in the law or our practices. Changes may occur without notice and they will be reflected on these pages.

This policy is made under the Personal Information Protection and Electronic Documents Act.
